Request for Proposals to set up and service WLAN
at the Vedder Research Library and Bronck Museum, owned and operated by the Greene County Historical Society.

We have
Three  buildings,  Museum, Library, and Information Center that are about 120 yards apart.  
 1. Museum has:  2-PCs  (Windows Vista or Windows XP), 2-laptops, 1-printer
 2. Library has: 8-PCs, (Windows Vista or Windows XP or Windows 7), 3-laptops (32 bit and 64 bit), 
	4-scanner/photocopier/printer,  2-overhead scanners (Minolta PS 7000  and Hover-Cam). 
	In addition, the library has a broadband cable Internet  connection.
 3. Information Center  will have two PCs.
	
We need
 4. Wireless network to share hardware, software, data files, multimedia files, electronic mail.  
 5. We planned to use PastPerfect Museum Software to store bibliographic records.   
	However, we were told that running PastPerfect on a wireless network is not recommended.  
	Hence, we  anticipate to have another cataloging software.
 6. Finally, we seek telephone upgrade, and webcam monitoring system.

We expect
After setting up the network, you will provide the following   ongoing service: 
 7. Perform bimonthly maintenance of computers and networking equipment
 8. Update drivers and security to protect against online threats
 9. Install, when needed,  any additional computer hardware and software 
10. Optimize  computer’s speed and performance
11. Repair, within 48 hours,  any hardware  and software issues
12. Maintain network documentation and procedures.
13. Other – suggest one?

We propose  four phase process for  this RFP
14. First,  via email, tell us what you can offer, and implementation timeline.  Also, 
	do tell us what we failed to recognize in our RFP. We will confirm receipt of your email, 
	and  may ask you to explain further.  Wednesday 25 January  2012 is submission deadline.  
15. Second, visit us, the top  applicants, identified through this evaluation process, will be 
	invited to VRL in February  to give presentation
16. Third, you are asked to make a bid one week after presentation: quoted cost includes material, 
	installation, maintenance, training.
17. Fourth, the final selection will be made by GCHS,  3-5 weeks after said presentation

Note  
18. Vedder Research Library is owned and operated  by The Greene County Historical Society  (GCHS)
19. GCHS is exempt from all taxes; therefore, taxes for services shall not be included  in the  bid
20. VRL will not pay for any information requested herein, nor will it be liable for any  costs  
	incurred by the applicant  in preparing a proposal.
21. Applicant, when asked,  must be able to provide references, proof of minimum certifications and 
	insurance requirements.  All equal – preference will be given to Greene County residents.  
22. All equipment shall be new, prefer Dell.    All workmanship  must have at least one year warranty. 
23. VRL reserve the right to reject any or all proposals
24. Submission of  your  proposal constitutes acceptance of  aforesaid  terms.
